Instructions for presenters

General Instructions

All presentations are allocated a certain timeslot. For the timing of the presentations, we kindly like to refer to the conference program online. Please double check the timeslot of your presentation, since minor changes are still possible. For an overview of the presentations in each session, simply click on the session title.

Please note that presentations should be given in English only.

The duration of the oral presentations are as follow:

    • Oral presentation: 12 minutes + 3 minutes Q&A
    • Keynote lecture: 45 minutes + 5 minutes Q&A
    • Poster talks: 4 minutes (no Q&A)

Please keep to this timing! There will be (technical) support helping out with the preparation of the presentation and the distribution of microphones to the audience.

  • We kindly ask you not to bring your own laptop, but to bring your presentation on a USB-key , as a laptop (MS Windows environment) will be provided in the lecture room. Changing laptops takes valuable time and might cause technical diffi culties. Please note that there are no Apple computers available.
  • The supported presentation format is PowerPoint (format 16:9). Make sure to copy your presentation onto the laptop in the lecture room. The technical support in the room will assist you with this. Please save your presentation under the following fi le name to avoid confusion: Day_Session_Last name_title_ 
  • Presentations can be uploaded during the break before your session in the lecture room. We kindly ask you to be in the room 15 minutes before the start of your session . Please use this time to locate and present yourself to the chair of your session so they know you are present.
  • The chair will be the timekeeper. The (technical) support in the auditoria will be in the room the entire time to help you out if necessary.

The posters will be displayed throughout the entire conference in Couvreur, the room where the breaks will take place, at the following moments:

Please take our general guidelines into account:

  • Poster size = A0 (841 x 1189 mm, or 33,1 x 46,8 inches)
  • Poster orientation = portrait (Please note that a poster in landscape format will NOT fit on the panels). The panel size is 1m width and 2m height.
  • Attachment materials will be provided for you
  • We advise you not to laminate your poster, as this will complicate attachment
  • Be sure to include the following elements on your poster:
    • the title
    • author names, affi liations and e-mail addresses
  • Your poster should be brought to the conference and not e-mailed. We do not have any facilities to print your poster on-site. If you wish to print your poster upon arrival in Leuven, we advise you to go to a local copy shop; click here for an overview.
  • On one of the poster panels, we will provide the list with poster numbers. Please look up your poster number, and attach your poster to the panel with the corresponding number.
  • Presenters are responsible for posting and removing their own materials. All posters should be removed after lunch time on Friday, 17 April 2026. Posters that have not been removed will not be stored by the organization.

Information For Poster Talks

In addition, for some selected posters, poster talks will be held at the following moments: o

  1. Poster talks: Thursday 16 April, from 3:30 pm until 4:15 pm
  2. Poster session: Thursday 16 April, from 4:15 pm until 5:30 pm.

During this designated timeslot, presenters of a poster talk are expected to be present at the auditorium.

  • For the poster talks, please prepare (in addition to your poster) maximum 3 slides: 1 slide with title and affi liation, plus up to 2 content slides
  • Follow the instructions indicated above (for the presenters) to prepare and upload your slides.
  • There will be no time for questions during the poster talk session; participants will be invited to continue discussions at the poster.
